Terms of Service

1. Agreement to terms

By accessing or using botzone.ai (“the Service”), you agree to be bound by these Terms of Service. If you do not agree, do not use the Service. The Service is operated by Botzone Ltd, Ireland.

2. Description of service

Botzone provides an AI meeting assistant called Sage that joins Google Meet calls to capture decisions, action items, and open questions, then delivers a structured meeting document. The Service includes a web dashboard for managing meetings, viewing documents, and configuring preferences.

3. Accounts

You must sign in with a Google account to use the Service. You are responsible for maintaining the security of your Google account. You must not share your account or allow others to access the Service through your account.

Free accounts are limited to one per email domain (excluding personal email providers such as Gmail, Outlook, and Yahoo). This restriction does not apply to paid plans.

4. Free and paid plans

The Service offers the following plans:

• Free: Up to 5 meetings per calendar month, with a 30-minute maximum duration per meeting.
• Team / Business: Unlimited meetings with additional features as described on the pricing page.

Paid subscriptions are billed monthly or annually via Stripe. You may cancel at any time; access continues until the end of your current billing period.

5. Acceptable use

You agree not to:

• Use the Service for any unlawful purpose
• Invite Sage to meetings without the knowledge of other participants
• Attempt to reverse-engineer, decompile, or extract the AI models or prompts used by the Service
• Use the Service to process data subject to specific regulatory requirements (e.g., HIPAA, PCI-DSS) without a separate written agreement
• Abuse the API or overwhelm the Service with automated requests
• Resell access to the Service without written permission

6. Meeting content and data ownership

You retain ownership of all content from your meetings (transcripts, documents, action items). By using the Service, you grant Botzone a limited licence to process this content solely for the purpose of providing the Service.

We do not use your meeting content to train AI models. See our Privacy Policy for details on how we handle meeting data.

7. Meeting participant consent

You are responsible for ensuring that all meeting participants are aware that Sage is present and that the meeting is being transcribed. Sage announces herself on joining and sends a chat message, but you should also inform participants in the meeting invitation or at the start of the call.

8. Shared documents

You may generate a share link for any meeting document. Anyone with the link can view the document without signing in. You are responsible for managing who has access to share links. You can revoke a share link at any time from the document settings.

9. Service availability

We aim to provide a reliable service but do not guarantee 100% uptime. The Service depends on third-party providers (Google Meet, Deepgram, Anthropic, Google Gemini, Cartesia) and may be affected by their outages. We will make reasonable efforts to notify you of planned maintenance.

10. Limitation of liability

To the maximum extent permitted by law, Botzone Ltd shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including loss of profits, data, or business opportunities, arising from your use of the Service.

Sage is an AI assistant and may make errors. Meeting documents should be reviewed by participants and are not a substitute for official meeting minutes. Our total liability for any claim arising from the Service is limited to the amount you paid us in the 12 months preceding the claim.

11. Account termination

You may stop using the Service at any time. We may suspend or terminate your account if you violate these terms. Upon termination, your data will be handled as described in our Privacy Policy.

12. Changes to terms

We may update these terms from time to time. We will notify registered users of material changes by email at least 14 days before they take effect. Continued use of the Service after the effective date constitutes acceptance of the updated terms.

13. Governing law

These terms are governed by the laws of Ireland. Any disputes shall be subject to the exclusive jurisdiction of the courts of Ireland.
